This notice explains what personal data we collect, why, who sees it, how long we keep it and what your rights are. It covers this website, enquiries, and the work we do for clients.

What we collect and why

When you send an enquiry or start a brief

Your name, business name, email address and, if you give it, your phone number, plus your answers about your business and branding, links you share, and the logo, brand files and photos you upload. We use it to reply to you and to prepare a first look at your website. Our lawful basis is taking steps you have asked for before entering into a contract, or our legitimate interest in answering enquiries.

When you become a client

Contact and billing details, your answers to our website brief, and the logos, photos and text you send us. We use it to build and look after your website, to invoice you and to keep our accounts. Our lawful bases are performing our contract with you and meeting our legal obligations, such as keeping tax records.

When you visit this website

Our hosting provider keeps short technical logs, including IP addresses, to run the site and keep it secure. Our lawful basis is our legitimate interest in a working, secure website.

Marketing

We only send marketing emails if you have agreed to them, or if you are a client and we are telling you about similar services and you have not opted out. Every email has a way to opt out.

Who sees it

We do not sell personal data. We share it only with service providers who handle it for us, under contracts that require them to protect it:

  • our website host, which also receives form submissions and the files you upload
  • our code storage provider, which holds website code and brief answers
  • our email and accounting providers
  • AI tools that help us write code and drafts. We use business accounts that do not use your content to train their models, and a person reviews everything before it is used

We may also share data with professional advisers, or where the law requires it.

Data sent outside the UK

Some of these providers store data in the United States or elsewhere outside the UK. Where they do, the transfer is protected by UK adequacy regulations, including the UK extension to the EU-US Data Privacy Framework where a provider is certified, or by the UK International Data Transfer Agreement or Addendum. Ask us for details.

How long we keep it

  • Enquiries, short briefs and uploaded files that do not become work: 12 months, then deleted.
  • Client contracts and invoices: for the life of the contract and 6 years after the end of the financial year it ends in, as tax law requires.
  • Brief answers and materials you send: for as long as we work together. When you leave, we hand them back and delete our copies within 90 days, apart from what we must keep in our records.
  • Technical logs: the short period set by our host.

Your rights

Under UK data protection law you can ask us to give you a copy of your data, correct it, delete it, limit how we use it, or send it to you or someone else in a usable format. You can object to us using it on the basis of legitimate interests, and you can withdraw consent at any time where we rely on it. Email us to use any of these rights. We reply within one month, and there is usually no charge.

We do not make decisions about you by automated means alone.

Complaints

If you are unhappy with how we have used your data, tell us first by email at hello@fettleinc.com or through our contact form. We will acknowledge your complaint within 30 days and tell you the outcome without undue delay.

Websites we build for clients

If you used a website we built for one of our clients, that business is the controller of your data and its own privacy notice applies. We handle that data only on its instructions.

Cookies

This website sets no cookies and uses no analytics or advertising trackers. If that changes, we will update this notice first and ask for consent wherever the law requires it.

We will update this page if anything here changes. The date at the top shows when it last changed.
